FFOTM Board Meeting May 3rd, 2006. 

Held at Roger Brace and Julie Sullivan's home.

 

Mike Falk called the meeting to order.

Board members present - Roger Brace (RB), Mike Falk (MF), Erin Brown (EB), Rusty Tweed (RT), Laura Shearin (LS), Kari Usher (KU), Jesse Anderson (JA), Bill Hudson (BH)

Non board members present - Julie Sullivan, Bill Vernieu, Jessica Pope, Shelly McKever, Larry Peterson, Guthrie Weishapl, Ren, Chaz

 

Agenda: Folk Festival, Pickin' in the Pines, Treasurer needed, campout, membership decline, Appoint officers

 

Rusty took over Bookman's Jam.

 

Campout - MF- Lloyd will take care of port-a-potties and trash cans. Susan Billingsly will get BBQ.  Need grocery shoppers, MF has a list for that buts needs a cooler.  Julie and Roger will help with shopping.

Warren Walters will put up signs.

Breakfast crew on Sunday - Lee Phillips, Dave, and Kari.  Need to bring cooking utensils.  Dinner Saturday night will be a little early so folks can carpool to the dance. Shelly will set up for dinner, Jess Pope will cook, and Julie will clean up and cook.

 

Mike Quinn asked Mike Falk when we want the newsletter posted?  Now it is 2 weeks after members receive it. MF called for getting rid of the 2-week waiting period since we are having a tough time getting the newsletter out in a timely manner.  Rusty seconded.  Vote - all agreed.

Discussion about moving deadline for newsletter from the 21st to the 15th.  Jess Pope likes that idea.  She will put out an email to remind folks.

 

Pickin' in the Pines - Bill Vernieu reviewed that the board put out the request for fundraising and grant writing.  Grants have been submitted.  We will hear back June 30th from FCP and July 1st from AZ Commission for the Arts. 

Bruce Mason moved and is no longer involved. No sponsorships at this time.  Bands have been contacted.

PITP committee proposes that their committee is willing to put up monies in an escrow account to have funds for securing bands. This would be paid back if and when the festival makes money past expenses.

Discussion about how this would work and who would be responsible.  Where would work force come from?  Are we still in line for timing to make this happen? FFOTM board members at the committee meetings.

BV wants to act as promoters.  He has sent a copy of the proposal to an attorney and has not heard back yet.

JA moves to approve PITP committee plan to form an escrow account to get to be funded by committee members, in order to underwrite festival expenses until other funds can be secured and who will receive a commission from any profit pending further legal consideration. RT seconded.

More discussion about ideas & concerns.  FFOTM board likes basic plan and wants to be careful.

KU call to question, MF called to vote.  All agreed.

 

Folk Festival - JA - Going well.  There are 60 performers.  Christina Boyd is handling publicity.  Julie is handling T-shirts.  Sound systems - Bill Vernieu and Larry Peterson - need volunteers.  Jess Pope will help on Sunday.  Concerns - no formal agreement with Cheryl Brock. MF will talk and confirm with her a guarantee and a share of the gate.  Parking  - no new ideas.  Perhaps Northland Press parking lot. Church would be ok on Saturday but not Sunday.  LP Food vendors?  Yes, 1, they are working on menus - burritos and they will pay $300 for the weekend.  JA will write article for June newsletter.  Ls suggests we promote FFOTM membership at the festival.  Membership is at or below 220.  New memberships mostly from dances.  Judy Hensley taking over membership mailing list. LS suggests Judy as a new board member.  BV suggests a committee for brainstorming about membership; re-contact folks who have not renewed, multiyear membership...

 

Treasurer - Mike Jones is moving.  Jess Pope volunteered to step in for a temporary situation.  LS and MF can sign checks.  What about the accountant we had Theresa?  Mf we could hire a bookkeeper. MF will write an article for the newsletter.  KU move to appoint Jess Pope as interim treasurer.  JA seconded.  All Agreed.

 

Table appointment of officers till next meeting when more folks will be present.
